Design shot lists by stage

Inspection, pre-production, installation and closeout need different evidence. Define required wide context, detail and measurement photos for each. Include slopes, flashing, penetrations, ventilation, decking findings, materials, landscaping protection and cleanup where relevant.

A required list should support decisions, quality and communication without encouraging unsafe photography. Follow company safety policy and applicable rules at all times.

Make every image retrievable

Attach images to the correct customer, property, job and date automatically where possible. Use a small controlled label set rather than individual naming habits. Preserve original files and timestamps.

Test weak-connectivity behavior. Crews need to know whether a photo is safely stored, waiting to upload or failed. Silent loss is unacceptable.

Control sharing and changes

Customer and partner reports should include selected evidence, plain captions and the relevant stage—not the entire internal project feed. Review permissions for public links and set an expiration when supported.

When field conditions change scope, connect the evidence to a written change, price effect and approval. A photograph alone is not authorization.

Audit quality

Sample completed jobs weekly for missing required shots, wrong-job uploads, poor framing and late synchronization. Give feedback using examples and update the shot list when it creates noise without value.

Before choosing software, create a full client-ready report, export the original images and remove a former employee’s access. These tests reveal practical limits faster than a feature tour.
